Anaesthetic Care is your personal e-assistant to help you with...

  Pre-operative questionnaire

Anaesthetic Care offers you efficiency and convenience by letting the patients prefill their own questionnaire forms. Results are immediately sent to your email address for you to review and respond.

  Patient evaluation survey

Anaesthetic Care enables each patient to provide feedback on their experience after their operation.  Upon your request, these results can then be provided to your reviewer to give feedback to you as part of your CPD requirements.

  Public profile

Anaesthetic Care enables patients to view your profile and know more about you before the actual operation. You can also upload attachments for your patients to download.  Your public profile is only accessible with your doctor ID code, and you can update your own profile in your member's area.

  Convenient messaging

Anaesthetic Care enables patients to send a message or question to you at anytime. You will receive it in your email inbox and you can review and respond to it at a time convenient to you.

  Fee request

Anaesthetic Care enables patients to request a fee quote from you. This form is intended for patients who did not request a fee quote as part of the questionnaire, or for patients who do not need to complete the questionnaire.

  Information for patients

Anaesthetic Care provides a one stop source of easy-to-read information for your patients regarding anaesthetics, as well as general requirements before and after their operation.

  Accept online and mobile payments

Anaesthetic Care is a portal for you to securely receive Visa, MasterCard and American Express payments from patients directly into your Stripe account, which will then be automatically transferred to your bank account on a 2-day rolling basis. You can also receive payments from patients on an ad-hoc basis using your mobile device.

  Professional branding

Anaesthetic Care can provide you with your very own professional email address yourname@anaesthetic.care. There is no need to use your personal email address. You don't need to set up a new email portal, just use your existing email account to receive all emails from this new email address.

  Time management

Anaesthetic Care provides core information to your patients and allows them to submit the questionnaire at a time convenient to them. Similarly, you can review the questionnaire and message submissions at a time convenient to you. This is especially handy if you have a busy schedule and a small window of opportunity to accept and make phone calls.

  Efficiency

The nature of our work requires us to ask the same questions to each patient to properly assess each individual.  Anaesthetic Care allows you to be more efficient because you and/or your secretary do not need to spend many hours on the phone each month asking the same questions to each patient regarding the patient's medical conditions, as well as providing general information regarding anaesthetics.

  Risk management

Anaesthetic Care allows for proper risk management because the questionnaires are standardised and holistic, so you're never going to miss a question that should have been asked. Furthermore, the digitalised forms allow you to print and file in the patient's records, so the risk of incorrectly reading or interpreting handwritten answers is greatly reduced.

  Compliance

Anaesthetic Care provides information on anaesthetist's fees as well as make references to it in the questionnaire for IFC compliance purposes.  In addition, Anaesthetic Care allows you to easily obtain patient experience surveys for your CPD requirements.

Who will benefit from using Anaesthetic Care?

All anaesthetists, whether you are part of a group or a solo practitioner, that work regularly in private hospitals or day surgeries without a pre-admission clinic will greatly benefit from using Anaesthetic Care. It not only saves time and phone calls when obtaining the patients' health history, but it also provides convenience, both to you and your patients. Patients can fill in the questionnaire and read the information on anaesthetics and IFC in their own convenient time, and all submissions come to you immediately which you can then view at any time. The digital format also means you can access it from your mobile or desktop or even print and file, thus reducing the risk of human error.

Anaesthetic Care is a portal that also provides other services to benefit the anesthetist. These include:
- a fee request form so that patients can fill in the required details and request a fee quote from you without having to make a phone call
- messaging capability so that patients can send messages (and attachments) to you without contacting you during your busy period
- a credit card acceptance facility to enable you to offer your patients an alternative method of paying you
- offering patients the ability to fill in a patient evaluation survey for CPD purposes

What questions are asked in the patient’s questionnaire?

The questionnaire is intended to be quite comprehensive and includes most of the questions that you would normally ask for all types of surgeries. It is divided into 5 sections that cover the following:
- patient details (includes contact details and physical characteristics such as weight and height)
- impending and past surgery details (includes list of all doctors looking after the patient as well as previous anaesthetic experience)
- medical and health history (similar to what you would ask in a pre-admission clinic, and includes current medications and known allergies)
- lifestyle (includes exercise, smoking, and drinking habits)
- other (includes health fund type, opportunity to request a fee quote and upload relevant medical files)

Most of the questions can be answered by clicking yes or no, or selecting answers from checkboxes. There are some questions that require patients to type answers in.

If you would like to have a look at the questionnaire before joining, you may contact us and we will provide you with a temporary doctor ID code for you to use and review. You will need to provide us with your AHPRA number.

How are the submissions conveyed to the anaesthetist?

By using the anaesthetist's unique doctor ID code, all submissions (ie. questionnaire, messaging, and fee requests) are emailed directly to that anaesthetist, which can then be viewed on any device such as smartphone, tablet, laptop, and PC.

The emails are sent with a descriptive subject line so you know the type of submission and the patient's name. The submissions should be reviewed and where required you should ask further questions to the patient. The patient may also indicate as part of the questionnaire that they would like a fee quote, and this is indicated in the subject line of the email. You should try to respond to the patient as soon as is convenient.

Submissions may be printed out and taken with you on the day of the operation to remind you of the patient's health, so that you can concentrate more on the physical exam and pathology results if necessary.

Please note that once you receive submissions, you must treat the information confidentially at all times.

How are doctor ID codes created?

When you join Anaesthetic Care, you will be required to create your own doctor ID code. The code can include any combination of letters (case sensitive), numbers and symbols. This code will be used by your patients to submit the questionnaires, fee request, messages, and pay fees directly to you. Without your doctor ID code, patients or visitors to the site cannot submit the forms. It is one way of ensuring you do not get spam or 'nuisance' submissions.

You may change your code at any time, however, please be aware that you will need to provide new codes for your surgeons and hospitals as your old code will not work.

What features are customisable to the user?

Your public profile is fully customisable from the member's dashboard. You can input details such as your qualification, special interests, training and education, practice areas etc. You can also upload a portrait of yourself to make it more personable.

The questionnaire at this stage is not customisable. However, the questionnaire has been designed to be quite comprehensive so as to provide you with enough information and highlight any areas that need to be followed-up.

The patient experience survey is not customisable, but is in the format that complies with the ANZCA CPD requirements.

For all submissions though, if you have any feedback on how they can be improved, we'd love to hear from you. Contact us to provide your feedback.

Is it possible to upload my own documents for my patients?

Yes. There are two ways you could do this. The first is to upload your information as part of your public profile. Then, your patients can view your public profile and download the relevant information. There are no limits on how many attachments you can upload.

The second option is to upload your information as part of the information sheets. With this option, you are providing information for all patients to access and view, not just your patients. If you would like to upload this as part of the information sheets, please send us an email to admin@anaesthetic.care with the attachment and the heading you would like shown, and we will upload it for you.

Can anaesthetists in countries other than Australia use this as well?

Most certainly. The health questionnaires are pretty much universal no matter which country you operate in. You can access the questionnaire and other benefits offered in this website.

What is the setup process for using the payment facility?

When you join Anaesthetic Care, you will be taken to the member's dashboard which contains a link to connect with Stripe. Once you click on it, you will be redirected to Stripe to setup an account. You will need to input details such as your address, bank account details, and a description to include in the patient's credit card statement. It takes less than 2 minutes to set up and once complete, you will be redirected back to Anaesthetic Care. Select the currency that you would like to receive payments in by visiting your profile, and you are now ready to start accepting payments via credit cards. It's as simple as that.

In order to receive payments from patients, you will first need to indicate it as a payment option in your invoice and you must provide them with an invoice (or billing) number. Patients can then go to 'Pay Fees' under the 'Fees' menu to pay via credit card if they choose to do so. They must enter your doctor ID code to ensure payments are made to you.

If you have not elected to receive credit card payments, patients will not be able to access the credit card checkout form with your doctor ID code, so payments will not be made.

What is the benefit of using your payment facility?

Anaesthetic Care is a portal that offers a payment acceptance facility for its members using Stripe. The benefits of using Stripe over merchant accounts as provided by the major banks include:
- lower transaction fees
- no minimum monthly fees
- no set-up fees
- no cancellation fees (you can cancel your account at any time)

Stripe is able to offer such attractive rates due to their focus on online commerce, rather than establishing a brick and mortar retail presence.

Stripe will automatically transfer the funds from your Stripe account into your nominated bank account on a 7-days rolling basis, without you having to worry about manually transferring the funds across.

Overall, using Anaesthetic Care's payment facility enables your patients to pay you directly using a credit card without you having to worry about the privacy requirements related to the handling of credit card information when you receive such information over the phone or mail.

How secure is the credit card acceptance facility?

Anaesthetic Care uses Stripe to provide an online and mobile payment acceptance facility for its members. Stripe is certified to Payment Card Industry (PCI) Service Provider Level 1, the most stringent level of certification for the handling of information related to credit cards. All sensitive information relating to credit card payments are communicated directly between the patient's web browser and Stripe in a secured (encrypted) environment. In other words, Anaesthetic Care does not receive any of the funds that patients pay you, nor does it receive or store any information related to the patient's credit cards.

How can I tell whether the payments have come through or not?

There are two ways to be informed about your payments. The first method is by receiving an email from Stripe. You will need to enable emails in your account settings in Stripe to receive notification of receipt of payments.

The second method is by visiting your dashboard in Stripe. The dashboard contains all the information related to the payments you have received including invoice number, patient's name, and amount.

What if I do not want to accept payments online?

This is totally optional to you. If you do not have the need or do not want to accept credit payments, you simply do not have to connect with Stripe. In such cases, patients who try to pay you online using your doctor ID code will be informed that you have not elected online payments.

If you decide later on that you would like to accept credit card payments, you can simply connect with Stripe at that point in time.

If you already connected with Stripe and accepted payments, but would now like to cease accepting online payments, all you need to do is go to your dashboard in Stripe and unhook the connection with Anaesthetic Care. Simple as that. You can also cancel your account with Stripe at anytime from within your account settings, but you should do this after all your funds have been transferred to your bank account.

Can groups use this as well?

Yes, definitely. A lot of the groups tend to have systems to manage their billing but when it comes to pre-operative health questionning or obtaining patient experience feedback, many of the groups still perform this manually. Anaesthetic Care can help your group in several ways to become more efficient. These include:
- provide a seamless experience from your own website. That is, patients can go to your website and access the questionnaire or survey as if it's part of your own website. If you require, we can even tailor the questionnaire to suit your group needs. This is suited for groups who only require the questionnaire and survey forms.
- have a link to our website so patients can access all the information and the questionnaire. This is useful for groups who would like to share the full features of our website with their patients.

In both cases above, all submissions will be sent directly to you.

We offer competitive special rates for groups. If you would like more information, please contact us

How are membership payments paid?

You can join by using your credit card (Visa or MasterCard only). Payment is made through Stripe's secured network and payment gateway. Membership fees are payable monthly in advance, and will be deducted from your credit card on a recurring basis. You will need to ensure that your billing information is current in your members area, otherwise, your membership may lapse.

Is there a minimum period that I must join for?

No. You may cancel at any time. To do so, simply go to your accounts page and click on 'cancel'. Please note though that we do not provide a pro-rata refund for the remaining portion of your monthly subscription.

Do you give tax invoices?

Yes, absolutely. An Australian tax invoice is automatically generated for each payment made and you can print the invoice at any time from within the members area.

Why is it .care and not .com or .com.au?

Most people are usually comfortable with .com or .com.au domain names mainly because they have been around ever since internet started. These are called Top Level Domains (TLD) or Country Code Top Level Domains (ccTLD). The problem with these is that there are no restrictions on the type of businesses that can register and use these domain levels, resulting in a basket case of websites that all serve different purposes.

As a result, from 2013 the Internet Assigned Numbers Authority (IANA) began releasing Generic Top Level Domains (gTLD) to help classify the purposes served by websites. The .care serves to inform visitors that it is related to healthcare and welfare. Other gTLD include .club, .hotel, and even .xyz, which has been adopted by Google's parent company Alphabet (http://abc.xyz) . Going forward, as more and more companies adopt gTLD, it will become as familiar as .com and .com.au.

How do the email forwarders work?

If you have chosen to receive your own free professional emaill address (yourname@anaesthetic.care), all emails received by this address will be automatically forwarded to your nominated email address. There's no need for you to go to a separate website to view the emails, just use your normal email account.

Most email providers also allow you to nominate a sender's email. For example, if you have a hotmail account, when you send an email you can choose to send it from your hotmail account, or send it from yourname@anaesthetic.care. In this way, you do not have to use your personal email address at all.
